Administrative Officer - Planning & Development Services

The City of Topeka’s Planning and Development department is seeking a highly organized, detail-oriented individual to serve as its lead administrative support professional. The Administrative Officer plays a critical role in ensuring the efficient implementation and coordination of departmental programs that have citywide impacts and performs daily administrative duties such as drafting correspondence, coordinating meetings, accounts payable, and assisting with financial documentation.

This position reports directly to the department director, with work primarily performed in support of the Planning division.

What you'll do:

  • Provide high-level administrative support for senior staff members.
  • Serve as the lead support professional for the department, assigning duties and providing training to administrative staff as needed.
  • Process and manage records of land use applications.
  • Compose letters, correspondence and technical documents such as meeting minutes, legal notices, grant applications, etc.
  • Prepare, review and process financial documents; prepare daily deposits and balance the department’s deposit records.

The ideal candidate:

  • Is highly organized, with the ability to prioritize tasks and manage multiple deadlines.
  • Exercises sound judgment and discretion in handling sensitive and confidential information.
  • Able to work with a variety of external and internal customers.
  • Has excellent communication skills and the ability to remain calm in high-stress situations.

Minimum Qualifications:

  • An associate’s degree from an accredited college or university in Business Administration, Public Administration or Environmental Science or a closely related field is preferred.
    • With an associate’s degree, two or more years of clerical and/or office management experience is required.
    • Without an associate’s degree, a high school diploma or its equivalent is required with four or more years of clerical and/or office management experience.
  • Two or more years of providing executive-level administrative support is preferred.

Entry rate of pay: up to $26.00 per hour, depending on qualifications
